Introduction & Overview
What Polar Vault is and why it exists

Polar Vault is a secure, cloud-based legacy management system built specifically for churches. It provides a single, permanent home for all institutional records — from land titles and trustee documents to financial records, assets and meeting minutes.

Unlike generic document storage tools, Polar Vault is designed around the unique needs of a church — multi-user access with role-based permissions, asset QR codes, maintenance tracking, financial record-keeping and a legally-secure vault that protects critical documents from accidental deletion.

Getting Started
Registering your church and logging in

New Church Registration

Visit the registration page
Go to app.mypolarvault.com and click Create your vault.

Enter church details
Provide your church name, denomination, country and city. Select your currency (NGN for Nigeria, GBP for UK).

Create your admin account
Enter your name, email address and a strong password (min. 8 characters, 1 uppercase, 1 number). You become the Owner of your vault.

Welcome email
You will receive a welcome email from hello@mypolarvault.com confirming your vault is ready.
⚠️
Account Security: After 5 failed login attempts, your account will be locked for 15 minutes. Use Forgot Password on the login page if needed.

Dashboard
Your church's command centre

The dashboard gives you an at-a-glance view of your entire vault. It adapts based on your role — Owners and Admins see the full picture, while Viewers see only their assigned tasks.

Alerts appear at the top of the dashboard when action is needed:

Asset Audit Status Panel appears automatically when at least one asset has an audit frequency set. It shows all auditable assets with their current status — Overdue, Due Soon or OK.

The Vault is the core of Polar Vault. Every important document, asset, personnel record, legal filing and meeting minute lives here — organised by category, searchable, and protected.

Adding a Record

Click New Record
The button is in the top right of The Vault page.

Select category, add title and description
Add a reference code if your church has its own filing system.

Assign to a folder (optional)
Select an existing folder or leave unassigned. Default folders are created automatically based on category.

Attach documents
Upload PDF, JPG, PNG or DOCX files (max 20MB each).

Legal Lock: Applying a Legal Lock to a record makes it permanently immutable. It cannot be edited, deleted or modified by anyone — including the Owner. Use this for records that must be preserved exactly as filed (e.g. trustee resolutions, land titles).

Financials
Track all income and expenditure

The Financials module gives your church a complete ledger of all income and expenses. Every transaction is recorded with evidence attachments, and the net balance is always visible at a glance.

Income Types: Tithe, Offering, Building Fund, Pledge, Donation, Other Income

Expense Types: General Expense, Salary/Stipend, Other Expense

You can also create Custom Transaction Types specific to your church via Manage Types.

Summary Tiles: Click the Total Income tile to filter and see only income transactions. Click Total Expenses for expenses only. Click Net Balance to reset and see everything.
⚠️
Delete Permission: Only Owners and Admins can delete financial records. Branch Admins and below can add but not delete.

Maintenance
Track service history and schedule reminders

The Maintenance module tracks the full service history of every church asset. Log each maintenance event, record costs, and set automatic email reminders before the next service is due.

Email Reminders: When a reminder is set, Polar Vault automatically emails hello@mypolarvault.com or a custom email address when the service date approaches.

Tasks
Assign and track church to-dos

Tasks keep your church team accountable. Create tasks, assign them to specific users, set priorities and due dates, and track progress from To Do through to Done.

When a task is assigned, the assignee receives an email notification with the task details and a Google Calendar link.

Filter by tile: Click the summary tiles (To Do, In Progress, Completed, Overdue) to instantly filter the task list by that status.

QR Code & Asset Audit
Physical asset tracking via QR codes

Every ASSET record in the Vault can be assigned a unique QR code. Print and stick the code on the physical asset. Anyone can scan it to view asset details, log an audit check, or report a maintenance issue — no login required.

Setting Up QR Audit

Open an ASSET record in The Vault
Only records with category ASSET support QR audit.

Generate the QR code
Scroll to the QR Code section and click Generate. Print and attach to the physical asset.

Configure audit frequency
In the Asset Audit section, click Configure and set frequency: Weekly, Monthly, Quarterly or Annually. Set the first audit due date.

Dashboard panel activates
Once configured, the Asset Audit Status panel appears on the dashboard showing all assets and their audit status.

Users & Roles
Managing who has access to what

Polar Vault uses a five-tier role system. Only Owners and Admins can manage users. New users are invited by an admin who sets their role and temporary password.

Inviting a User: Go to Users → Invite User. Set their name, email, role and a temporary password. They receive a welcome email with login instructions and must change their password on first login.

How Polar Vault protects your data

Minimum 8 characters, 1 uppercase letter and 1 number required.

5 failed login attempts locks the account for 15 minutes.

Session Timeout
Automatically logs out after 30 minutes of inactivity with a 5-minute warning.

Password Reset
Secure email-based reset links that expire after 1 hour.

Data Isolation
Each church's data is completely isolated. No church can see another's records.

Encrypted Storage
All files encrypted at rest (AES-256) and in transit (TLS 1.3).

Change Your Password at any time from Settings → Change Password.

Forgot your password? Click Forgot password? on the login page and a reset link will be emailed to you.

Data & Privacy (GDPR)
Your rights and how we protect your data

Polar Vault is GDPR compliant. (trading as Polar Vault) is registered in England & Wales and takes data protection seriously.

⚠️
Why no self-deletion? Polar Vault is a record-keeping product. Churches may have legal obligations to retain certain records (CAC filings, trustee minutes, financial records). Self-deletion is handled via support to ensure compliance and prevent accidental loss of legally required documents.
